NOTE: TennisConnect uses the term Enrollment to describe the process of signing up for an event or a program.
We were forced to reserve the word "Register" to describe the one-time process of registering on the web site (or joining the web site). The reason for this distinction goes back to discussions with the many audiences served by TennisConnect (private clubs, swim and tennis clubs, public parks, CTA's etc) all having different meanings for the word "join". So in 2004 we settled in on "Register" for the web site (registration) and "Enrollment" for signing up for activities.
The Calendar of Events is the primary "enrollment" tool in TennisConnect. When you publish events with a specific date, time, place, cost, host, etc... TennisConnect provides an excellent fit for online enrollment.
When you publish events or programs with a flexible schedule or that take place over a duration of weeks there are a few tricks to using online enrollment, so we will start with the basics (specific date, time, place, etc).
Online enrollment options:
Events are made enrollable by attaching them to an enrollable Category in the Calendar.
Go to Calendar | Admin Menu | List / Edit Categories:
1) Categories are organized by TYPE. Within the Junior Tennis Type we are looking at the first four categories.
2) To edit a specific Category click the Edit / View link. To add a new Category or delete an existing one choose the Add New or DELETE function (CAUTION: you should not delete a Category once it is in use. Please contact TennisConnect support at 888.620.6696 XT 2 if you have questions about this feature).
3) Required: This is a "legend" of sorts telling you that this category Requires a consumer address during enrollment or Requires the Terms Of Service Acceptance in order to enroll online.
4) Enroll: This is a legend as well telling you whether or not events using this Category are using online enrollment.
Edit Category:
Let's take a look at an existing Category that is using Online Enrollment:
(Edit / View Junior Camps / Clinics)
There are three parts to the Category form:
Part 1: Attaches the Category to a Type (color coding) and allows Enrollment option:
Check the Enrollment radio button to invoke online enrollment
Part 2: Set Enrollment Questions:
You may collect 10 "text response" questions and 10 Yes / No questions during the enrollment process. The screen shot below was truncted for space purposes.
Note: TennisConnect is automatically going to collect The First Name, Last Name, Email Address, and Phone number for both the "Person making this enrollment request" and for the "Participant". So you do not need to use any of your user defined enrollment questions for that information.
Require Address: Will add Address, City, State, Zip to the enrollment form.
Require TOS Acceptance: Will present the Terms of Service (below, Part 3) and require a check box for the user to accept the Terms Of Service (medical treatment release, liability waiver, phot release etc).
Part 3: Terms of Service / Pre-Enrollment comments & Post Enrollment comments to be presented tot he participant (or person making the enrollment request).
This part of the Category form allows you to present Pre and Post enrollment comments. Common uses include acceptance policies (subject to acceptance into the correct program by the Tennis Pro, suitable payment arrangements, acceptance of the Terms of Service etc).
