Finer Points
Please read this section after you have added a few events (but before you add too many).
Event Title naming conventions
You may notice that in “Month View” the calendar shows 7 days across the top and 5 weeks down the side. The event title is truncated to 13 characters in order to make room for all the columns in the monthly view.
You may have an event called “Junior After School – Ages 7-9” and another called “Junior After School – Ages 10-12”. But all your consumers will see in the monthly view of the eCalendar is “Junior After-“
So when you name your events, move the differentiator to the front: “Ages 7-9 Junior After School” and “Ages 10-12 Junior After School”. The same thing happens with Leagues. Instead of “USTA Men’s Fall 4.0 doubles”, use “4.0 Men USTA Doubles.”….
Event Duration
The event duration field is a free form 50 character filed intended to "rationalize" the cost field.
When you publish an event and its cost, it appears here in your consumer site:
That might look like a pretty expensive afternoon.... So the "Duration" filed was created to allow you to "explain" the cost in one brief phrase. Here is where you modify it on the Add Event form:
Common examples include: "This is part of an XX week program".
Cost
The Cost field is a 10 character alpha-numeric field. This was done so that if you have varying rates, discounts, etc you can simply say "See Below" in the cost field and then use the detailed description are to explain the event / program cost.
Show Enrolled
TennisConnect has an "evite" like feature that allows you to show other players who have already enrolled in an event. A new icon and clickable drop-down will appear on your calendar event page when you choose "Show Enrolled".
Be aware of the privacy and security considerations when you select this option. TennisConnect will only "Show Enrolled" under the same circumstances that you allow online enrollment in the first place:
SO.. IF the event is only enrollable for registered (and logged in) members of the web site, only they will see the Show Enrolled link... IF the event is enrollable for anyone visiting the wbe site, then "Show Enrolled" will be available to the public...
Note: YOU can always see who is enrolled in an event. Simply log into TennisConnect and go to the calendar. You can click on the event in question and click "View Enrollments" where you will also have options to download to Excel or "Send Group Email".
Show date and time in confirmation email
Three things happen when a player enrolls online. The Contact Host receives an email, the database is updated, and the player receives a system generated confirmation email.
The system generated confirmation email is sent immediately and is made up of two parts; one is database driven simply repeating the enrollment information (event, date, time, participant, etc). The other is whatever you have put in your customer "Email Confirmation Content" (terms, policies, event details, up sell messages, sponsor messages, pro shop promotions, etc).
You can run into a "situation" when a player enrolls ion a program for which the time is To-Be-Announced, or if the program spans multiple weeks or different days / times. In this situation you do not want to confuse the consumer by having the system include the (one) fixed system date and time fo the enrollment event.
In this case UNcheck the box to "Show date and time in confirmation email" and TennisConnect will generate the enrollment confirmation email
without a reference to the event date and time.
