Marketing / Customer Service Considerations
Your new web site is a powerful marketing communications and customer service tool. A proper announcement to your customers should include an enthusiastic plug for the benefits to web site registration and the customer self service features you have elected to implement. There is a Help Page in the TennisConnect Pick & Click Editor that you can place on your web site and / or send via group email to announce the new services available through your web site.
Go-Live Check List (from the implementation guide)
There are Four stages to “going live” on your new web site. If this is your first web site, the site will already be live so we can skip stage #1. We recommend everyone review stages 2, 3, & 4
Stage 1 – Technical Tasks
Technically all that we need to change is your DNS Settings. Back in the Pre-Implementation planning under Confirm Domain Access, you should have verified your ability to change the Name Servers for your domain.
Before you change your name servers:
- Confirm the use of email account and make arrangements to update any local / client PC’s with the correct Outlook or Outlook Express settings
- Download all web based email content and contacts for reloading on client / PC based systems
- Snapshot your current SEO score and Google placement
If you are re-hosting your web site and domain name on our servers:
Change your Name Servers: to NS1.MYTENNISCENTER.COM and NS2.MYTENNISCENTER.COM
If you are going to use a sub-domain and leave your existing site as-is:
- Decide on the subdomain name XXXX.yourwebsite.com where XXX usually equals “tennis”, but may equal “locationA”, “location”, etc.
- Create an A record pointing to 69.63.134.19
- Create a CNAME record pointing to www.XXXX
If you are going to using a new domain:
You can skip this step – it has already been completed.
Stage 2 – Site Review
Your new web site is now technically “live”, however before you broadcast it to your players you should do a complete walk through:
Email
- Set up the email accounts @yourdomainname.com
- Review Webmail access
- Configure local clients / PC’s to the new settings
Web Site
- Review your Registration Settings (discussion: Require Managerial Approval) and member landing pages, Terms of Use Preface
- Review each site page for layout, presentation, hyperlinks
- Follow each hyperlink to ensure any template links have been removed
- Review the need for a player help page (Court Scheduler, Calendar, and TennisCollect customers in particular)
- Register on your web site as a fictitious player and note any discrepancies between your help guide / announcement materials and your actual experience
- Validate the confirmation emails that you should have received as both a player and an administrator
Calendar
- Verify enrollment categories, enrollment options, and “show enrolled” settings.
- Verify “Contact Host” emails
- Run through the enrollment process
- Verify the search-ability at sites like www.tennis.com www.tennischannel.com
Contact Manager
- Ensure that your Membership Types are set up (if applicable)
- Ensure that your Distribution Lists are set up and any “remnant” list categories are made inactive
Court Scheduler
- Verify Reservation Restrictions and Player Access by Member Type (if applicable)
- Verify Mass Court Blocker entries to ensure you are a step ahead of your players
TennisCollect
- Verify your site underwriting submission with your Merchant Account Processor
- Make your account setting LIVE in your Payment Gateway
- Attend training with your Merchant Account processor. Remember: TennisCollect is just a connection to your gateway. Your money is managed by your gateway. That is how you get your money into your bank account, resolve disputes, issue refunds, etc. Your gateway is the most important link between you and your money.
- Make TennisCollect setting “LIVE” in TennisCollect.
- Process a $1 transaction all the way through, confirming that your account was charged and your bank account was credited.
General:
- Review your site Meta Tags
- Submit your site to the search engines.
Stage 3 – Consumer Announcement
You are now ready to announce the site to your players and commence the registration drive.
Stage 4 – Post Implementation Review
Every TennisConnect customer should schedule a 30-60 day “Post Implementation Review” with their accounting manager to identify any outstanding punch list items and document any “lessons learned” that make the implementation process even more refined as we proceed.
Moreover, review comments and feedback from staff, players, and management. TennisConnect utilizes feedback to refine our product. We recognize we aren’t perfect; however, we are always eager to listen, share, and plan for the future.
