Creating Distribution Lists
Distribution Lists are simply
used for Group Email. Create your Distribution Lists by going to
Horizontal Navigation Bar: | Contact Manager | Manage Distribution
Lists
Name your Distribution List (NOTE: These will be known to your players as "Groups" that they can opt-into)
- Active: Active lists appear on the consumer site under the tab "Join Groups". If you de-activate a list (un check the box) you can still use it, maintain it, use it for group email,,, it will just not show up on the consumer site (good for a list of "hot prospects")
Add Contacts from within your Distribution List:
If you are creating a new list, you can "Mass Add" Contacts by starting from the distribution list and adding contacts (Choose Action / Add Delete):
All contacts not already in the list will be in the lft hand column. Contacts in the list are in the right hand column. You can pull contacts over one at a time or by using <Shift>click to select a range or <Ctrl>click to choose multiple individual records (remember to SAVE your changes):
TIP:
Contacts can belong to more than one list. You will see later in Group
Email how you can select one or select several “lists” to send out
email. The lists mentioned above are pretty popular examples of what
other facilities are using.
Adding contacts to your distribution lists from within the Contact Record
If you have one new contact and you wish to place them in multiple distribution lists it is easier to start from within the Contact Manager record and simply check all the appropriate "groups":
Find the record you want to edit:
Choose Edit and choose the Join Groups tab. This will "push" this contact into multiple groups (distribution lists) at one.
TIP:
You do not need to make a list by gender or NTRP level, since you can already filter reports and email blasts by those criteria.
A
“Distribution List” to you, becomes “Join Groups” on your consumer web
site. So if you have a group of prospects that you wish to upload so
that you can send them email, mark the list as “Inactive” and it will
not appear on your consumer site. The same holds true for any other
list that you do not want players to opt-in to or even know about.
Send Email to Specific Distribution Lists
We
mentioned that the reason for distribution lists was to provide the
grouping required to send an email to a target specific audience. This
will be discussed in the Group Email chapter.
