Email mapping is used to designate "who" in your organization receives correspondence for varying types of inquiries or transactions.
You can route "where" an email goes in your organization based on the nature of a web site visitor inquiry. You also control the "from" email addresses that are used for the same inquiry or transaction.
The main control is Basic Settings | TennisConnect Basics | # 6 - email mapping. Here we have both system generated and custom labels (explained below):
There are two sections to this form.
The labels in the System Emails section are frozen. You can change the employee / staff to direct that email to, or you can manually enter an email address, but you cannot change the field labels.
You must have a general contact, the others are optional. TennisConnect will wire these addresses to the "Contact Us" form on your web site. We will only present options for which you have entries, so (for instance) if you do not have Club House Rental, leaving the Contact Email blank will remove the Club House Rental choice from the Contact Us form on your web site.
You may only have one General email address, and that is the address that is used to send email confirmations "from" the web site.
For all other System emails you may enter a string of addresses if you want more than one person in your organization to receive a copy of the inquiry. For example a membership inquiry might go to marketing@ yourdomain, manager@ your domain, and owner@ your domain. Simply offset each address with a comma and a space.
TIP: For your Tennis Court Scheduler Confirmations you may want to create an email address or mail box specifically for this purpose. You probably don't want to fill up your personal email address with tennis court reservation confirmations. Also, you may want to provide instructions in the confirmation email to call the club house with changes, or to reinforce your cancellation policy. Custom Contact Email labels can be completely user defined. The Contact Us form on your web site will provide your consumers with an option to contact (each "department") and then route the email to that address. So you can set up different contacts for things such as youth programs, league coordinators, etc - and your web site will route the email accordingly.
Anytime somebody makes an inquiry using the Contact Us form, the designated recipient will receive the email, and the option that was chosen on the Contact Us form. This helps you understand the origin of your visitors request (by knowing which "contact" they submitted their request to).
